Meeting of 15 May 2012

1) Call to Order
Paul moved to open the meeting; seconded: Janet; 7:15 )

2) Financial Report:  (Jitka)
Jitka reported that there are currently $8,648.24 in the SABDA account. This includes $2,000 from the grant for the web site project.

3) Web Site Project—Bids:

Loreto provided a summary of the project and bidding results. There are two bids for consideration:

  • $4,800 (Flagship Multimedia):
    includes free updates and maintenance for 1 year, requires specific skills to maintain
  • $5,000 (Targett Design):
    easy to update; analytics (number of views, location of viewers, etc.) and training in updating the web site are included in the product

Angelo reported on a conversation he had with Dan Coffin from Destination CB. Dan recommends Targett Design, who does Destination CB's web site. Dan warned us to be careful about the content that is put on the web site. There should be lots of videos, photos, and other emotional content. Destination CB can help promote our web site and provide an events feed they maintain. He suggested a different payment model—for example, $3,500 for Targett Design to design the web site, and $1500 for Dan to act as content manager. It was decided not to pursue this model.

Motion: That we create the web site (moved: Loreto; seconded: Angelo; carried)

A vote to select the winning bid was held. Rosie and Loreto abstained from voting due to conflict of interest. Targett Design was unanimously declared the winning bidder.

Paul suggested that we ask for one year of maintenance at no charge, in case of upgrades to WordPress, plug-ins, etc.

Motion: That Loreto contact Mike Targett. If he is willing to negotiate and provide support, the project will proceed. If he is not willing to provide support, SABDA will explore other options (moved: Jamie; seconded: Anne-Claude; carried).

ACTION: Loreto will ask Mike Targett if he will supply one year of support.

It was decided that Loreto will be the liaison between SABDA (and local web site participants) and Mike Targett in the event there are technical issues with the site.

4) Web Site Project—Content:

Now that the project is set in motion, the work of the original web site committee is complete. The SABDA board will now discuss web site matters as a group.

We decided to put out a call for high-resolution photos representing the community. Photos should provide a sense of place, and be of people doing activities in the community, not just of scenery. The SABDA board will jury the photo submissions.

ACTION: Jamie will ask Bill Conall to put a call for photo submissions in the email Events sheet and the June paper Events sheet.

ACTION: Loreto will send contact information for four community photographers (Lee Brown, Lisa Finney, Carol Kennedy, Jim Steele) to Jamie.

ACTION: Jamie will e-mail the photographers mentioned above asking if they would be willing to submit photos for the web site. The photos will be credited, and could be linked to the photographers' web sites.

ACTION: Loreto will ask Lisa Finney if she will be willing to receive and scan hard copies of photos at the C@P Site and e-mail the digital files to the SABDA e-mail account.

6) Next Board Meeting: To experience what the community has to offer, SABDA meetings will change location. The next meeting will take place at Simply Pizza on Tuesday 26 June 2012, at 7 pm.
